Smartlead Review (2026)
Unlimited-mailbox cold email infrastructure aimed squarely at agencies running many clients from one account.
Smartlead in Depth
Smartlead is cold email infrastructure built around one idea: unlimited mailboxes on every plan. Where competitors meter sending identities, Smartlead does not, and the entire product follows from that.
It is aimed squarely at agencies, and the features that distinguish it are the multi-client ones rather than the sending ones.
The agency case
Running outbound for eight clients is structurally different from running it for yourself. You need separated workspaces so one client's reputation problem does not touch another's, reporting you can hand over without exposing the rest of your book, and sub-account access that does not require sharing a login.
Smartlead does all three properly, and this is the actual reason to choose it over the alternatives. The unlimited mailboxes are table stakes for the model; the client separation is the product.
The cost that is not on the pricing page
Unlimited mailboxes are not unlimited domains, and this catches people.
A working setup runs perhaps three to five mailboxes per domain before reputation concentration becomes a problem. So forty mailboxes means eight to thirteen domains, bought and renewed annually, plus the administration of configuring authentication on each. That is a few hundred dollars a year and a real task somebody owns.
Against Instantly
These two get compared constantly and the honest answer is that they are close. Both are sending infrastructure, both do warmup and rotation competently, both are cheap relative to platforms.
The difference is orientation. Smartlead is built for many clients and the multi-workspace features show it. Instantly is built for one sender at scale and has the larger community, more learning material and better documentation. For a single in-house team the gap is small enough that either is defensible. For an agency, Smartlead's client separation is worth the switch.
Setting Smartlead Up
Straightforward once the domain work is done, and the domain work is most of it.
- Buy domains per client, not shared. A shared sending domain means one client's complaints damage another's placement, which is the fastest way to lose an agency retainer.
- Authenticate every domain with SPF, DKIM and DMARC before connecting mailboxes.
- Warm for two to three weeks. The temptation with unlimited mailboxes is to spin up forty and start immediately, and it is the most reliable way to burn all forty at once.
Budget two weeks between buying the tool and sending anything meaningful. Agencies that compress this are the ones explaining placement problems to a client in month two.
Strengths and Weaknesses
- Unlimited mailboxes on every plan, which is the model the whole product is built around.
- Genuine multi-client separation with workspaces, sub-accounts and client-facing reporting.
- Competent warmup and rotation at a fraction of platform pricing.
- Pricing that does not scale per client, which is what makes the agency economics work.
- Domains are a real unlisted cost, at eight to thirteen for forty mailboxes, per client.
- No data layer, so you bring the list as with everything in this category.
- Smaller community and less documentation than its nearest competitor, which matters when something breaks.
- The model enables volume that filters are increasingly built to catch, so the strategy has a shelf life.
Smartlead Pricing
Published and self-serve, from around $39 a month, scaling on contacts and features rather than on mailboxes.
The real comparison for an agency is per client rather than per month. Add domains at roughly ten per client, annual renewal, plus the setup time, and the tool cost is frequently the smallest line in the calculation.
Against building the same capability on a platform, this is not close. Platforms meter sending identities because that is how they price, and an agency running forty mailboxes across eight clients would pay several multiples for the same output.
The Verdict
The right choice for an agency running outbound across many clients, and roughly a coin flip against Instantly for a single in-house team.
- You run outbound for multiple clients and need genuine workspace separation
- Unlimited sending identities is the model your strategy depends on
- You want client-facing reporting without exposing the rest of your book
- Per-client pricing on a platform has become the constraint
- You are one team sending to a curated list, where the model buys you nothing
- You need a contact database, because there is not one here
- Nobody will own buying and maintaining domains per client
- You want the largest community and best documentation, which is Instantly
